We are seeking a Senior Legal Secretary to join our Residential Property (Conveyancing) team in Guildford.

Our property team delivers services to our Clients for residential property transactions.  Our secretarial teams are involved in the end-to-end conveyancing process rather than just part of the transaction. This allows us to provide a more responsive service to our Clients, ensuring multiple members of the team have the expertise to deliver outstanding service, with knowledge and care. For our Senior Legal Secretarial teams, this means the role provides a genuine opportunity for further personal development and being involved in a much broader/more rewarding role. 

You’ll work in a small secretarial team, supporting up to three of our solicitors and lawyers. Your main responsibility will be to provide comprehensive legal secretarial and administrative support throughout the conveyancing process. This will involve interaction with both internal colleagues and our clients. Whilst the role is fast paced, you’ll find Moore Barlow a really supportive firm working with colleagues that take a genuine interest in you. 

Day to Day: 

  • You will administer files to include opening, closing, archiving and retrieval to ensure that teams are able to respond to legal queries 
  • You’ll ensure that information is recorded in our Practice Management system so that we can deliver outstanding service to our Clients
  • Prepare pre completion bundles for client completion
  • Handling pre and post completion documentation, paperwork and registrations
  • Drafting of letters, documents, and forms
  • Printing of contracts and letters pertaining to the sale or purchase of a property
  • Digitising signed contracts and other documents
  • Being a point of contact and able to answer queries on behalf of Clients and Colleagues
  • Providing a great Client experience, assisting with providing clients with updates/progress on their cases
  • Assisting in the invoicing process
  • Assisting with time recording to ensure that all work is accurately captured and understood (and billed). 

What we look for: 

Our Legal Secretaries are critical to helping us deliver excellent Client service. We look for friendly and confident problem solvers who have the following attributes: 

  • A genuine interest in residential property
  • Previous legal secretarial experience gained within residential property (conveyancing). Candidates with experience only at post-exchange will also be considered as we provide excellent training
  • Experience supporting multiple solicitors/lawyers
  • Brilliant communication skills (both written and verbal)
  • Ability to absorb information quickly. We provide our teams with the autonomy to make great decisions in order to solve problems and/or progress matters in a way that exceeds Client expectations. 
  • Accurate typing speed of ideally 60+ words per minute.
  • Intermediate knowledge of Microsoft Word (including track changes), Outlook, Excel, PowerPoint, research tools and other systems such as case management.
